Mail import

Turn airline confirmation e-mails into bookings

Mail import turns the confirmation e-mails that airlines send your agency into bookings in booking24. Your agents keep booking on the airline website as usual. Minutes later the booking waits for review, an agent adds what the e-mail cannot know, such as your own e-ticket price, and imports it as a regular booking.

How it works

  1. Book on the airline website

Your agents keep buying low-cost and scheduled tickets where they always do. Nothing changes at the airline and no new habit is needed.

  2. The confirmation reaches your mailbox

Each agency connects its own mailbox. booking24 checks it every three minutes and reads the flights, passengers, ticket numbers and the price paid from the confirmation.

  3. Review before anything is written

New bookings wait under Mail bookings, grouped by status. Missing details, such as a salutation or a child's date of birth, are listed per passenger before anything reaches your booking list.

  4. Set your own e-ticket price

Leave the price empty to print what the airline charged, or enter the amount your customer pays. When the airline shows one total for a family, booking24 splits it to the cent and marks the split as approximate; for infants you enter the price yourself.

  5. Import and print the e-ticket

One click creates the flight, the booking and its passengers. It becomes a regular booking marked as externally ticketed, and the e-ticket PDF carries your agency logo and your price.

Built-in safeguards

  • One mailbox, one agency

Every connected mailbox belongs to exactly one agency. Bookings that arrive from any other mailbox are dropped and never imported, so passenger data cannot cross between agencies.

  • Imported flights are never for sale

Flights created by an import belong to your agency only and are hidden from flight search, so an external ticket can never turn into sellable seat inventory.

  • Clean data before PNL and tickets

Passenger names accept letters, spaces, hyphens, apostrophes and dots only, and ticket numbers letters, digits and hyphens. Anything else blocks the import instead of reaching a passenger list or an e-ticket.

  • No silent overwrites

If a colleague saves the same booking first, your change is refused and the current version is shown. Every e-mail booking is imported exactly once.

  • Schedule changes in one step

When the airline moves a flight, the updated confirmation shows the change and you apply it with one action. The new time is taken over and your own price stays.

  • Your credit line stays untouched

Your agency paid the airline directly, so imported tickets are not charged against your booking24 credit line.

Questions agencies ask

Do our agents have to change how they book?

No. Agents book on the airline website exactly as before. Mail import only reads the confirmation e-mail that arrives afterwards.

Can other agencies see our imported bookings?

No. Each agency imports only from its own mailbox, and imported bookings and flights belong to that agency alone.

What happens when the e-mail is missing information?

The booking stays in review and lists exactly what is missing, for example a salutation or a child's date of birth. Nothing is written until an agent completes it.

Can we skip e-mails that should not become bookings?

Yes. Any item can be ignored and restored later if it was ignored by mistake.

Which languages does the mail import screen support?

The screen is available in German, English and Albanian, like the rest of booking24.
